ADTRAV Meetings offers complete housing services for large conventions and citywide events. These types of venues require specialized database, negotiating and management skills. Organizers must be able to negotiate effective contracts with the local hoteliers, and implement a proven system to handle the volumes of data generated by these events. That’s why companies now turn to ADTRAV Meetings. We possess the necessary expertise and have developed a proprietary system HousingCentral, to manage the reservation, confirmation and reporting processes. We even work closely with the hotels to provide block utilization reports and actual rooming lists to help them manage their inventory.

Hotel Reservation Process
Once the hotels have been selected and the contracts have been signed, ADTRAV Meetings will assign a team of reservationists to the event. In addition, we will gather all of the pertinent information about each hotel property as well as the booking procedures and the size of each room block. All hotel information will then be loaded into our HousingCentral system. This proprietary software tracks the status of the room blocks, provides confirmation letters and gathers all the necessary information to produce the management reports. Convention participants can confirm their hotel reservations via telephone, fax, mail or the Internet.
Confirmation Letter
Once a reservation has been completed, a confirmation letter will be sent to the participant for verification. This letter will recap all of the pertinent information and contain the actual confirmation number for their reservation.
Management Reports
ADTRAV Meetings provides comprehensive management reports as part of the HousingCentral system. These reports are customized for each event and provide both summary and detail information. In addition, these reports are available on the Internet via ADTRAV's RezReporter system. Our customers can now view their meeting information on their personal computer 24 hours a day.
