We review the specific needs of each meeting and determine if a zone fare, group airfare, percentage discount, or multi-meeting contract is the best solution for the event. Once we have determined the most advantageous type of program, we then begin negotiations with the individual carriers. However, a key consideration in selecting the best airline for any meeting or convention is the ability of that airline to get the participants to the destination in a convenient and timely manner. ADTRAV will consider all of the pertinent information and develop an airline program that will offer the best service to the customers at the lowest possible price.

Airline Reservation Process
Once the “official” airline or airlines have been selected and the contracts have been signed, ADTRAV Meetings will assign a team of airline reservationists to the event. They will compare the rates obtained from the “official” airline with those available to the general public and book the best alternative. Convention participants can also obtain pricing and schedule information via ADTRAV’s RezOptions system. By simply entering the requested itinerary, RezOptions will return fifteen itineraries sorted in order of lowest total price. A quick email to the assigned reservationists and the flight will be confirmed and ticketed. Participants can also obtain their airline reservations via telephone, fax or mail.
Reservation Confirmation
Once an airline reservation has been completed, a confirmation notice will be sent to the participant via email for verification. This notice will recap all of the pertinent information and contain the actual confirmation number for their reservation. In addition, participants can view their complete trip itinerary on the Internet via ADTRAV’s RezViewer system.
Management Reports
ADTRAV Meetings provides comprehensive management reports as part of all airline programs. These reports are customized for each event and provide both summary and detail information. In addition, these reports are available via the Internet and thus can be viewed 24 hours a day.
